Terms & Conditions
These terms set out the agreement between your organisation and TST HRMS. We've written them in plain language so you can actually read them.
Last updated: August 20261. Acceptance of these terms
By accessing or using TST HRMS (the "Service"), you agree to be bound by these Terms & Conditions. If you are registering on behalf of a company, you confirm that you have the authority to bind that company to these terms, and "you" refers to that company.
If you do not agree with any part of these terms, please do not use the Service.
2. What the service provides
TST HRMS is a cloud-based HR and workforce management platform. Depending on your plan, it may include the following capabilities:
- Employee records, documents and organisation structure
- Attendance capture, shift planning and time tracking
- Leave policies, balances, quotas and approval workflows
- Payroll processing, salary components and payslip generation
- Reporting, exports and administrative dashboards
- Companion mobile applications for Android and iOS
Each registered company operates in its own logically isolated workspace. We may add, modify or retire individual features over time as the product develops.
3. Registration and accounts
Submitting a registration request does not by itself create an account. We review each request and may approve it, decline it, or ask for further information before provisioning a workspace.
You are responsible for the accuracy of the information you provide, for maintaining the confidentiality of all credentials issued to your users, and for all activity that occurs under those accounts. Please notify us promptly if you believe an account has been compromised.
Administrator responsibility. Accounts with administrative privileges can view and modify data across your workspace. Grant these roles carefully and review them regularly.
4. Subscriptions, billing and renewals
Paid plans are sold as subscriptions covering a defined number of users for a defined billing period. Fees, user limits and billing periods are those shown on your selected plan at the time of purchase.
- Fees are payable in advance for each billing period.
- Applicable taxes are charged in addition to the listed price where required by law.
- If your usage exceeds your plan's user limit, you will need to upgrade to continue adding users.
- Upgrades take effect immediately and are prorated for the remainder of the current period.
- Unless cancelled before the renewal date, subscriptions renew for a further period of the same length.
Except where required by law, fees already paid are non-refundable. If you cancel, your subscription remains active until the end of the period you have paid for.
5. Acceptable use
You agree not to, and not to permit any user to:
- Attempt to access data belonging to another customer or workspace
- Probe, scan, disrupt or overload the Service or its infrastructure
- Reverse engineer, decompile or attempt to derive the source code of the Service
- Upload malicious code, or content that is unlawful, infringing or abusive
- Resell, sublicense or provide the Service to third parties without our written consent
- Use the Service in breach of applicable employment, privacy or data protection law
6. Your data and ownership
You retain all ownership of the data your organisation submits to the Service, including employee records, attendance data and payroll information ("Customer Data"). We claim no ownership over it.
We process Customer Data solely to provide, secure and support the Service, as described in our Privacy Policy. Where we process personal data on your behalf, you act as the data controller and we act as the processor.
You may export your data at any time while your subscription is active. Following termination, we retain Customer Data for a limited grace period so you can retrieve it, after which it is deleted in line with our retention practices.
7. Availability and support
We aim to keep the Service available at all times and operate it on redundant cloud infrastructure with regular backups. However, no online service is uninterrupted, and access may occasionally be unavailable due to planned maintenance, updates, or events outside our reasonable control.
Where maintenance is planned and likely to affect availability, we will make reasonable efforts to notify administrators in advance. Support is provided by email during business hours as described on your plan.
8. Intellectual property
The Service — including its software, interface, design, documentation and trade marks — remains the property of TST HRMS and its licensors. These terms grant you a limited, non-exclusive, non-transferable right to use the Service for your internal business purposes during your subscription. No other rights are granted.
If you send us feedback or suggestions, we may use them to improve the Service without obligation or compensation to you.
9. Warranties and liability
The Service is provided on an "as is" and "as available" basis. To the fullest extent permitted by law, we disclaim all implied warranties, including fitness for a particular purpose and non-infringement.
Payroll and compliance. TST HRMS is a tool that helps you calculate and record payroll. It is not a substitute for professional accounting, tax or legal advice. You remain responsible for verifying that your salary structures, statutory deductions and filings meet your legal obligations.
To the fullest extent permitted by law, neither party is liable for indirect, incidental or consequential loss, including loss of profits, revenue or data. Our total aggregate liability arising out of or in connection with these terms is limited to the fees you paid for the Service in the twelve months preceding the event giving rise to the claim.
Nothing in these terms limits liability that cannot be limited under applicable law.
10. Suspension and termination
We may suspend or terminate access where an account materially breaches these terms, where fees remain unpaid after notice, or where continued use poses a security or legal risk. Where practical, we will give notice and an opportunity to remedy the issue first.
You may cancel your subscription at any time by contacting support. On termination, your right to use the Service ends, and the data retention provisions in section 6 apply.
11. Changes to these terms
We may update these terms as the Service evolves or as legal requirements change. When we make material changes, we will update the "last updated" date above and, where appropriate, notify workspace administrators. Continued use of the Service after changes take effect constitutes acceptance of the revised terms.
12. Governing law
These terms are governed by the laws of India, and the courts of Tamil Nadu, India have exclusive jurisdiction over any dispute arising from them. Before commencing proceedings, both parties agree to attempt in good faith to resolve the matter directly.
